While asking a coworker a simple question over chat or email can seem like a more expedient method to receive a response, doing so frequently has the opposite effect since the back and forth that follows might drag out rather than just having a quick face-to-face.

 

When trying to send a short message to your coworkers, it is advisable to use Skype, Google Chat, and other online communication platforms. Face-to-face engagement, on the other hand, actually speeds up the process of fixing a problem, answering a question, or getting something vital clarified.

 

How can you ensure that your staff members strike the right balance between the two to work as effectively as possible?

 

Encouragement of open communication between staff members will foster a constant flow of knowledge.

 

While email and chat have their uses, by encouraging face-to-face communication among your staff, you can keep your business running smoothly and avoid having a 20-message email thread for a problem that could have been resolved in a five-minute face-to-face chat.

  1. Limit interruptions

Your staff may be struggling to complete work effectively as a consequence of frequent interruptions.

Staff meetings start at nine in the morning, department meetings start at eleven, and lunch is at twelve.

We aim to plan many meetings on the same day rather than distributing them throughout the week, and we block off time on our calendars for actively working.

Your staff may be more productive and able to focus better if you set out periods of undisturbed time for them to work.

 

Meetings aren’t the only distractions, though. Constant email alerts, chat message pop-ups, and project management software notifications may all disrupt the work process.

 

The average amount of time needed to continue functioning productively after an interruption is one minute.

Therefore, to decrease email notifications, we employ programs like Inbox Pause. To avoid distractions while working, there are many tools and applications available. This might make you more productive.

 

  1. Organize a daily, 10-minute business meeting.

The timer never stops running. Without a doubt, time is money. Since ineffective meetings squander time that might be better spent working rather than chatting, many company owners avoid them like the plague.

 

However, there is one particular meeting kind that may be essential to a startup’s success: A 10-minute standup meeting every day, with a maximum of 20 minutes, that enables your team to swiftly resolve problems and share information to reduce friction points.

And that enables you, as a leader, to spot potential issues earlier rather than later, intervene to eliminate obstacles, and offer prompt help that may make a world of difference.

 

  1. ‘Single-task’ to accomplish more

We all believe we are great multitaskers; right now, I have 11 tabs open on my laptop, which is a moderate quantity compared to other days.

While multitasking may be possible, it’s believed that this does not inevitably translate into higher productivity. The concept of “single-tasking”—or concentrating just on one activity until it is finished—thus comes into play in this situation.

 

Instead of working on so many various tasks that nothing ever gets accomplished, concentrating on “single-tasking” until a job is finished helps you execute.

 

  1. Discourage the phrase “Have a minute?” meetings

The most frequent and ineffective use of time and energy is holding “have a minute?” meetings all the time. These are the meetings that often interfere with productivity since they are unplanned.

 

Why are these meetings inefficient for the workplace? The fact that hardly anything significant can be done in one minute implies that one minute may easily grow into 15 minutes or more, which is a wasteful use of time.

 

Scheduling brief meetings with a certain amount of time and sticking to the subject at hand is preferable. The objectives of keeping the meeting brief, planned, and in-person are achieved even with a straightforward email like, “Can we meet for 10 minutes at 3 pm to discuss the completion of project X?”

 

  1. Maintain the procedure that has been developed.

If a project is already underway, trying to move it along quickly could mean taking shortcuts. Follow the specified procedure exactly.

We risk missing something if we try to expedite the process by cutting corners, which requires more time and expense to repair. If we follow the procedure we established at the outset, things run more smoothly.

 

Does it imply that there should be no change? Of course not, as most of our prior proposals would likely be rendered worthless.

But, if you’re altering a procedure, do so consciously rather than haphazardly or because you’re running behind schedule. Procedures can be modified, but only after the possible modification has been authorized and after communicating with the entire team.

 

  1. Use a task management program.

Email isn’t the best way for teams to communicate or collaborate. To keep all of our communication and job progress in one location, we utilize task management tools like Trello.

 

A task management tool for designated teams may make it easier for everyone to collaborate effectively, monitor progress, and remain on task. We can follow progress more effectively and it saves everyone time from having to send and receive emails back and forth.

 

  1. Encourage an atmosphere of open dialogue

Encourage your staff to communicate honestly, just as in advice number two. But it extends beyond the notion of face-to-face interaction in problem-solving; do your staff members feel free to express their worries or offer input on the way your business is run?

 

Our culture of open communication is mostly to blame for our business’s rapid expansion. Encouragement of comments, suggestions, and interdepartmental contact is the greatest strategy to increase corporate efficiency.

 

You won’t see everything, and you can’t be everywhere at once. Your staff might be able to identify a department or procedure that might be simplified or improved upon in your business.

 

Make sure they feel free to express their thoughts and provide input, especially when it comes to increasing productivity.

A more productive and effective team will emerge from encouraging employees to participate in the efficiency process.

 

  1. Recognize when to stop

To make your business work more smoothly, it’s necessary to iron out as many kinks as you can, but you also need to know when to stop. Not all processes can or should be automated, just as not all meetings will conclude at the appointed time.

 

Efficiency is critical. Yet for startups and company owners, a preoccupation with efficiency might detract from what is crucial for our enterprises: growth.

 

In several essential areas, such as hardware usage and service-level agreements, we do place a strong emphasis on efficiency, but we always remind ourselves that our main objective is development. Customer serviced, items on offer, and brand recognition are all included.
